Share Dashboard Projects with Your Team — Real-Time Collaboration

Stop emailing screenshots and re-uploading files. Invite teammates, clients, and stakeholders directly to your VibeFactory dashboard projects — they can edit the same project through the AI assistant, in real time, with zero setup.

Project Sharing: Built for Real Teams, Not File Attachments

Most dashboard tools force you to choose between locking projects to one user or exposing the underlying source code. VibeFactory's project sharing gives your team write access to the same live project — without ever touching GitHub, Vercel, or any developer tooling.

How It Works:

  1. 1. Open your project and click Sharing in the side menu
  2. 2. Enter your teammate's email address
  3. 3. They get instant access — no invite link, no signup friction
  4. 4. Both users can edit the project through the AI assistant

Why Teams Love It:

  • ✓ Email-based — no invite codes or token sharing
  • ✓ Works for users who don't have an account yet
  • ✓ Collaborate via the same AI assistant
  • ✓ Owner stays in full control of GitHub & exports
  • ✓ Email notifications for granted/revoked access

The Problem: Dashboards Were Built for Solo Users

If you've ever built a dashboard in Excel, Power BI, Tableau, or even modern AI tools like Lovable or Bolt, you've hit the same wall: the project belongs to one person. To "share" it, you have to export a file, send a screenshot, or push the source code to a Git repo and hope your collaborator can run it.

That doesn't work for real teams. Your data analyst wants to tweak a chart. Your manager wants to add a KPI. Your client wants a different filter. Every change becomes a back-and-forth message thread, a new file version, or a Slack ping asking "can you re-share?"

VibeFactory's project sharing solves this by letting multiple users work on the exact same live project — using the same AI assistant, looking at the same preview, with changes applied automatically.

How to Share a Dashboard Project (Step-by-Step)

Sharing a project takes about 10 seconds:

  1. 1. Open the project you want to share from your dashboard.
  2. 2. Click the "Sharing" tab in the left side menu.
  3. 3. Enter the email address of the person you want to invite.
  4. 4. Click "Add User" — that's it. They get an email notification immediately.

If your collaborator already has a VibeFactory account, the project shows up in their dashboard right away. If they don't yet, that's fine too — VibeFactory remembers the invitation and links the project to their account the moment they sign up with that email.

💡 Pro Tip

You don't need to send a separate invite link or Slack message. The shared user gets an automatic email notification as soon as you grant access — and a second email if you ever revoke it.

What Shared Users CAN Do

When you share a project with a teammate, they get full collaborative access through the AI assistant. They can:

  • View the entire project — files, preview, and chat history
  • Edit the dashboard via the AI assistant — add charts, change layouts, fix bugs
  • See the live preview — same deployed URL the owner sees
  • View commit history if the project is connected to GitHub
  • Use their own credits for AI generations — no shared billing surprises
  • Export the dashboard as ZIP or email for their own records

In practice, this means your data analyst can iterate on a chart while your PM watches the preview update live. No file syncing, no merge conflicts, no version mismatches.

What Shared Users CANNOT Do (And Why)

Project sharing isn't a free-for-all. The owner stays in control of the project's most sensitive operations:

  • Cannot connect the project to an external GitHub account — only the owner can manage the GitHub integration
  • Cannot export the raw source code — source code export is owner-only to protect intellectual property
  • Cannot delete the project — only the owner can delete
  • Cannot manage other shares — only the owner can invite or remove collaborators
  • Cannot change project metadata or settings — owner-only

This is intentional. The owner created the project, paid for the credits, and should retain ownership of the source code and the ability to control who else has access. Shared users get a powerful collaborator role — but the owner keeps the keys.

Plan Limits: How Many People Can You Share With?

PlanShares Per ProjectBest For

If you're working with a small team or doing client work, the Pro plan is the sweet spot — unlimited shares per project, unlimited projects, and unlimited collaborators. You only pay for the AI credits you actually use.

Real-World Use Cases

🧑‍💼 Agency-Client Workflows

You build a dashboard for a client. Instead of emailing screenshots back and forth, share the project — they can request changes directly in the AI assistant, you review and refine. Iteration cycles drop from days to minutes.

📊 Data Analyst + Business Stakeholder

An analyst builds the initial KPI dashboard. The business owner wants to add filters or change colors. With sharing, they can do it themselves through the AI assistant — no need to file a ticket and wait.

👥 Internal Team Collaboration

Your finance team builds a revenue dashboard. The sales team wants to add a pipeline view. Share the project — both teams iterate on the same live dashboard without stepping on each other's files.

🎓 Teaching & Onboarding

Show a new team member how to build a dashboard by sharing one of yours. They can experiment in the AI assistant safely — without affecting your other projects.

Frequently Asked Questions

Can I share a project with someone who doesn't have a VibeFactory account?

Yes. The invitation is stored against their email address. As soon as they sign up using that email, the project automatically appears in their dashboard.

Do shared users use my credits or theirs?

Theirs. When a shared user runs the AI assistant on a project, it draws from their own account credits. You're not on the hook for their changes.

Can shared users export the source code?

No. Source code export is restricted to the project owner. Shared users can still export the built dashboard as a static ZIP or send it via email.

Can I revoke access later?

Yes. Open the Sharing tab, find the user, and click the remove button. Both you and the user get an email confirmation. Their access ends immediately.

Is there a limit on how many projects I can share?

No project limit on Pro and Enterprise plans. The only limit is on how many users you can share each individual project with — and Pro is unlimited.

Can shared users see my other projects?

No. Sharing is per-project. They only see the specific project you've granted them access to — nothing else in your account is visible.
